Partnered with Eagle Mountain Construction, Inc. and the City of Sedona, BetaPr implemented public outreach efforts for the Uptown Roadway Improvements Project.
The project consisted of a combination of street, hardscape and landscape improvements throughout Uptown Sedona. Improvements included the construction of additional lanes, two new roundabouts, a new median and a new connector road along the project corridor.
During the design phase, BetaPr facilitated and hosted a community meeting to ensure the public was aware of the design initiative and what the project entailed.
With over 100 attendees, the meeting was highly successful in providing area stakeholders pertinent project information and allowed them to meet the project team including city staff, the contractors and the design team.
The City of Sedona needed stakeholders to be able to share their thoughts and concerns, so BetaPr designed a comment form that would also gather helpful data from the community. Following the meeting, BetaPr prepared a comprehensive summary for the project team, compiling all comments and input received.
Moving into the construction phase, BetaPr designed a project notification flier that highlighted project details specified in the Special Provisions, which included a detailed map of the improvements area, information on how to stay informed throughout the project and contact the project team and a tentative construction schedule.
The notification flier was mailed to over 2,800 stakeholders in and around the project corridor.
To accompany the letter, BetaPr designed newspaper advertisements that were published in the Red Rock News and Verde Independent that mirrored the information in the flier. A press release was created and disseminated in conjunction with the city’s Communications and Public Relations Manager. To create a one-stop-shop for all project information and resources, a project-specific website was created and designed by BetaPr.
To ensure all of the Uptown merchants were contacted, the flier was hand-delivered to each stakeholder along the project corridor to open lines of communication and help them understand how this construction would affect them.
Additional outreach efforts included the continuous release of a weekly eNewsletter that showcased the next weeks construction schedule, maintaining a 24-hour project specific hotline and email address and updating the project-specific web page with important material and current information throughout the duration of the project.
